Keeping branding consistent across printed materials

Printed items do not need to look identical, but they should feel as though they come from the same business. A short print specification helps staff, designers and suppliers make consistent choices without rebuilding the rules for every order.

Start with usable brand files

Keep approved vector logo files for print and state which versions can be used on light or dark backgrounds. Include a minimum size and clear-space rule. A logo copied from a website is rarely suitable for a large printed piece.

Record print colour values

Screen colours and printed colours are not the same. Record the approved CMYK values and any Pantone references used for print. If a close match matters, supply an earlier printed sample and discuss proofing before the full run.

Paper changes colour too. The same ink values can look different on bright coated stock, warm uncoated paper or coloured material.

Use a small type system

Define the main typefaces and sensible fallbacks. Set minimum sizes for body text and contact details. Keep headings, captions and calls to action consistent, but allow each format enough space to work.

Choose imagery with a purpose

Use photographs and illustrations that suit the audience and subject. Record any crop, treatment or permission rules. Avoid mixing unrelated stock styles simply because images are available.

Connect the system to production

Add practical notes for bleed, safe areas, paper and finishes. A brand guide that ignores production can still produce inconsistent results. For example, a finish that works on a brochure cover may make an appointment card difficult to write on.

Check the common items together

Place a business card, letterhead, leaflet and display graphic side by side. Check logo size, colour, type, contact details and image treatment. This catches drift more quickly than reviewing each file on its own.

For cards, start with business card printing. If several items need to match, send us the set and any previous samples.
